Conclave Media Archivist

About This Position

The Media Archivist for the Section G16 Conclave Communications Committee plays a critical role in preserving the visual legacy of the 2025 conclave. This individual will be responsible for the systematic organization, cataloging, and storage of all photographic and video media captured by the communications team. The Media Archivist ensures that these valuable assets are readily accessible for future use, reference, and historical documentation.

Reports to: Conclave Comms Operations Lead

Key Responsibilities

  • Centralized Media Collection: Mmaintain a central repository for all photos and videos captured by the communications team throughout the conclave.
  • Systematic Organization: Develop and implement a clear and logical system for organizing digital media files, including folder structures, naming conventions, and tagging strategies.
  • Detailed Cataloging: Create comprehensive metadata for each media file, including date, time, location, event, subject matter, photographer/videographer, and any relevant keywords.
  • Metadata Consistency: Ensure consistency in the application of metadata across all archived files to facilitate efficient searching and retrieval.
  • File Format Management: Understand and manage various image and video file formats, potentially including conversion and optimization for archival purposes.
  • Storage Management: Oversee the storage of media files, ensuring adequate space, backup procedures, and data integrity.
  • Liaison with Content Creators: Work with photographers and videographers to ensure timely and accurate submission of media files and associated information.
  • Developing Search Functionality: Implement or utilize existing tools to enable efficient searching and retrieval of specific media assets.
  • Preservation Best Practices: Adhere to best practices for digital media preservation to ensure the long-term integrity and accessibility of the archive.
  • Documentation of Archive Procedures: Create and maintain documentation outlining the archiving process, organizational system, and any relevant guidelines.
  • Regular Backups: Implement and oversee regular backup procedures to prevent data loss.
  • Potential for Future Use Identification: Consider potential future uses of the archived media (e.g., promotional materials, historical records) when organizing and cataloging.
  • Problem Solving: Address any issues related to media organization, storage, or retrieval.
  • Adherence to Conclave and Section Guidelines: Ensure all communication activities align with the conclave code of conduct, Section G16 brand and style guidelines, and the Scout Oath and Law.
  • Other Duties: Completes other duties as assigned by the Key Lead or Operations Manager.
 
This position requires attendance at the 2025 Section G16 Conclave.
